Virtual Events have come to the fore front of event technology, with a new world of creating experiences and sharing content. collaboration of live and virtual experiences to integrate with your audience globally.
A virtual event doesn’t need to be a replacement for a live event it can be BETTER!
Virtual Event Types
Virtual Events allow you to bring together presenters, content and remote audiences to share in one experience. They can be a corporate meeting, product launch, music video, internal briefing, brand experiential event or a charity fund raiser.
Production AV have the skills and experience to bring live presenters and contributors, mix a live performance in, play in pre-recorded videos, add live question and answer or panel sessions to the stream and feed these to your chosen endpoints. Whether its to Zoom, Youtube, Teams, Twitch, Skype, Facebook or your chosen ‘Platform’ we can ensure you get your message a across.
Planning your event
Key to delivering a successful virtual event is planning who and what is going to be contributing to the event. Also vital is understanding who and where your viewers are.
Production AV have gained experience over our years working on events to ensure we can scope out and help you develop your event plan. We will ensure that we understand who and what you want to bring together. We can work with your event planners, managers and content creators to
Sources and inputs
Your sources or inputs can be a range of things like a Zoom call with a presenter, a teams call, a sponsor advert, an internal video, a pre-recorded session from the CEO, presentation or pictures. We can manage these resources and connections and ensure they’re in the right formats and presented at the right time.
We also have a flexible studio facility, where we can bring presenters and hosts in to a real world, Covid Secure studio space. Here they can interact with your online audience and link the elements together. We can also present product launches and demonstrations due to the generous space on offer.
Digital Glue
We have a range of hardware and software to bring all the sources together and ensure they are presented to your brief. From high spec computers running software such as vMix, OBS or Wyrecast, to hardware switchers we can feed to streaming platforms. We can also offer virtual sets and Extended Reality (or ‘xR’) using our disguise hardware and Notch solutions.
All these items can be offered on a dry hire, crewed hire or complete project option. As always, you can call us on 01242 650604 or email us if you want advice or a quote.
Outputs
Where are your viewers? Production AV will get your content to where your viewers are. And this might be more than one destination. But we have the experience and skill to ensure it hits the spot. We can also help you analyse the data from the streams and platforms to work out whether the stream is performing as expected: Something we did with the NHS on a recent project.
Platforms
What is a ‘Platform’? Platform has become the term used to describe a service to combine many event functions together in one place – things like Hopin or ConnexMe -a useful Virtual Event Comparison can be found on the event manager blog. They let you manage things like delegate registration, email reminders, breakout rooms, plenary sessions, sponsorship opportunities and much more and combine them into a central resource. They all have different features and benefits, but we can help guide you in the choice of platform best suited to your event.
However a platform isn’t always necessary, or worth the cost. For some requirements, simply going to a Youtube live feed might be best, or using a service like Eventbrite to feel a virtual ticket to your event or webinar. It will all depend on your requirements.
If you want to discuss options on platforms, then drop us an email or give us a call on 01242 650604.
Live or Pre-recorded?
There are benefits to both options. A truly live event can bring dynamic interaction between your viewers and the content; For instance with lIve Q&A running alongside the stream. A recorded event can be controlled and guaranteed to start and run to time, knowing that all the calls and presenters will be pixel perfect. It also allows for editing should there be any moments that need ‘tweaking’. Read about how we helped a client deliver an online program for a festival.
But it is entirely possible to combine both. With pre-production to record key sessions, then using our Hybrid event Studio F, with a host to link the various sessions together, giving a broadcast level finish to the stream. Again this can be pre-recorded for later playback, or go out live on your stream.
What’s a Hybrid Event?
‘Hybrid events’ can be a term used to describe the mix between Live and pre-recorded session played out together as one stream, or where both a physical space and/or audience are combined with a virtual or online audience.
Buffering and Wifi – How do you deal with problems?
We’ve all been there – experiencing buffering, dropped calls and frustration. While we can’t guarantee absolutely no problems, we can work to manage and mitigate the risk of them occurring. Pre-recording sessions, presenter liaison combined with setup and broadcast kits, diverse data paths, in-cloud backup and failover as well as enterprise grade networking are all ways we work to reduce the risk.
